Industrial Fabrication RFQ: What to Include Before Tender Pricing

Hulls Engineering metal fabrication project

Prepare an industrial fabrication RFQ with drawings, materials, processing, inspection, coating, delivery and site-interface requirements.

An industrial fabrication RFQ should define what must be manufactured, verified, finished, delivered and installed before suppliers price the work. Hulls Engineering Australia provides heavy industrial engineering and fabrication from Leongatha, including structural steel, plate and pipe processing. A broad request for ‘structural fabrication’ is not enough for reliable tender comparison.

Our engineering and fabrication capabilities include cutting, guillotining, rolling, press-brake work, pipe bending, welding, grit blasting, painting, assembly and onsite installation. Only the processes required by the issued scope should appear in the quotation.

Define the Fabricated Package and Its Boundaries

Start with a clear equipment list, member schedule or work-package breakdown. State whether the supplier is pricing fabrication only, supply and fabrication, protective treatment, transport, installation, commissioning support or a combination. Identify free-issued items, vendor interfaces and work by others so gaps are visible before tenders are compared.

For projects divided across several workshop processes, our article on complete in-house fabrication provides capability context without implying that every tender needs every service.

What Documents Should Accompany the RFQ?

Procurement teams should issue controlled information and identify anything still preliminary:

  • Drawings and revisions: Provide current fabrication drawings, models, schedules and a document register.
  • Materials: State grades, thicknesses, quantities, traceability and any client-supplied material.
  • Quality requirements: List welding, inspection, hold-point, record and acceptance requirements.
  • Surface treatment: Define preparation, coating system, colour, exposure and inspection criteria.
  • Logistics and site work: Include transport limits, lifting interfaces, access, shutdowns and installation boundaries.

Where platforms, walkways or equipment supports are included, our industrial secondary steelwork article highlights the need to connect fabrication information with the wider plant arrangement.

Avoid Compliance Claims That the RFQ Does Not Support

The project title does not establish the applicable standards, execution class or inspection regime. The responsible design and project team must state these requirements. Hulls can then assess the workshop and site scope against the issued documents and clarify exclusions or missing inputs before pricing.

Standards Australia explains that AS/NZS 5131 addresses steel fabrication and erection. Referencing a standard without defining project-specific drawings, specifications and acceptance records is inadequate and can produce tenders that are not genuinely comparable.

Our industrial grit-blasting and painting guidance can help buyers frame surface-treatment questions, while the coating specification remains a project input.

Tender return requirements should be equally explicit. Ask suppliers to state exclusions, assumptions, proposed lead time, document deliverables, subcontracted activities and validity period. Without a common response format, the lowest number may conceal missing coating, transport, testing or site work that reappears as a variation later.

If design information is still developing, label it clearly and request budget pricing rather than presenting an incomplete package as construction-ready. That distinction protects the procurement decision and gives the fabricator a fair basis for identifying contingencies.

Issue a Quote-Ready Industrial Fabrication Package

Send the drawings, quantities, materials, inspection plan, coating requirements, delivery location and site constraints through our industrial project quotation form. We can review the RFQ, identify missing scope boundaries and confirm which workshop and installation capabilities should be included in the tender response.
